Purpose: Perform administrative and clerical tasks to ensure efficient operations of the Office/business unit and support personnel in their duties, according to the company’s policies and local requirements. You will be reporting to the Sales Manager and will be located in Givaudan Office in Heliopolis, Cairo. The position will be on outsourcing basis and temporary for 6 months
Your role will include:
  • Office Administration:
    • Perform office duties: type up documents, perform filing, update computer records, and use office equipment like printers and photocopiers.
    • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and ordering new supplies.
    • Ensure office equipment is functioning by completing preventive maintenance requirements and managing repairs.
    • Negotiate terms with suppliers to ensure the most cost-effective orders.
    • Supervising and monitoring the work of administrative staff.
    • Issuing all purchase orders for the office.
  • Personal Assistance:
    • Greet & receive visitors.
    • Schedule meetings and ensure venues and equipment for meetings.
    • Take notes during meetings and prepare meeting minutes.
    • Make travel arrangements for staff.
    • Organizing company events or conferences.
  • Communication:
    • Respond to routine inquiries from internal or external sources, for example, on the organization’s location, hours of operation, phone numbers, or email address.
      • Receive phone calls and redirect callers to the desired recipients.
    • Take and distribute accurate messages.
  • Reporting:
    • File and retrieve documents and reference materials, conduct research, collect and analyze data to prepare reports and documents.
    • Revise and suggest improvements to processes and record-keeping systems.
    • Handle confidential documents, ensuring they remain secure.
    • Maintain a Hard copy & electronic filing system.
  • Courier:
    • Handling incoming & out coming Shipments.
  • Accounting support:
    • Manage the office budget.
    • Record Employee Expenses.
    • Record Travel expenses.
    • Filing a Hard copy of the Invoices.
  • Human Resource Support:
    • Follow-up & record employees attendance, Punctuality & holidays on the system.
    • Handling employees Medical documents

Your professional profile includes:
  • Education:
    • Administrative Background
    • Bachelor degree in commerce, arts, administration or equivalent.
  • Experience:
    • At least 2 years of administration and experience in bookkeeping/accounting.
  • Skills:
    • Fluentin Arabic and very good in English
    • Good knowledge of computer programs (MS Office & email, Internet Browsing)
    • Networking Skills
    • Team player • Reliable, responsible, fast, precise
    • Supportive. Initiative taker • Organized and Multitask oriented.
